Delivery tips & how notifications work
IT notification inbox and/or Portfolio reports email receive assign, return, and delete notifications with full asset details. Use Email template branding to set a custom intro and footer. Uncheck "Also notify assignee" to skip employee emails. Enable On assign/return and SMTP.
Going to Junk? Use the same Gmail for Username and From, set company contact as Reply-To, ask recipients to mark “Not spam” once. Best delivery: Google Workspace on your domain.
Microsoft Entra ID (Azure AD)
Sync users from Entra ID into the directory for the selected organization.
New synced users are added to the selected organization. Existing users keep their current role on sync.
In Azure Portal → App registration → API permissions: Microsoft Graph → Application → User.Read.All and GroupMember.Read.All (if using a group). Grant admin consent.
Portfolio reports
Monthly snapshot for the selected organization: assets by department and type, warranty, and specs status.
Seats by product
Uses the organization selected above. Software license pools: total, used, available, and utilization per product.
Sign-in security
Authenticator-app MFA is enabled per user under Users → Edit.

Turn on Require MFA at sign-in for each user who should use an authenticator app. On first login they scan a QR code; use Reset MFA on the Users list if they lose their device.
MFA_ENFORCE in server .env overrides per-user settings for Global and Organization admin roles.
Database backup
Full SQL dump; restore replaces all current data.
Backup encryption
When enabled, downloads and scheduled email backups are protected with a password you choose. You need that password to restore — save it in your password manager. Without it, encrypted backups cannot be opened.

Upload a .sql backup or an encrypted file (.sql.enc, .sql.gz.enc). Type RESTORE to confirm.
Data integrity
Detect department/location values in assets that don't match the dropdown lists. Fix mismatches by merging into the correct picklist value.

Clear all assets
Removes every asset record. Users, settings, and organizations are kept. A CSV of deleted assets is emailed to IT. You will type CLEAR in a confirmation dialog.
